Privacy Policy

Aria Legal Services ("Aria Legal", "we", "us", "our") is a paralegal practice licensed by the Law Society of Ontario. This policy explains what personal information we collect through arialegal.ca, how we use it, when we disclose it, how we protect it, and the rights you have under Canadian privacy law (PIPEDA and applicable Ontario rules).

1. Information we collect

When you use our website or submit an intake form we may collect:

• Contact details — name, email, phone number.
• Matter information — the description you provide about your legal question, along with any documents or photographs you choose to upload (for example a traffic ticket).
• Technical information — standard web-server logs (IP address, browser type, pages visited) collected automatically for security and analytics.

2. Why we collect it

• To respond to your inquiry and, if you become a client, to provide the legal services you retain us for.
• To run a conflict-of-interest check before opening a file.
• To meet Law Society of Ontario record-keeping, billing and file-management obligations.
• To improve the website and communications.

Submitting an intake form does not create a paralegal-client relationship. A retainer only begins when we confirm it in writing.

3. Service providers

We use trusted third-party service providers to operate the site and our practice. These may include our website host and infrastructure provider, our email delivery provider, and our document/file storage provider. Providers only receive the information they need to perform their function and are contractually bound to safeguard it. Some providers may store or process data outside Ontario, including elsewhere in Canada or in the United States, in which case that data may be subject to the laws of the jurisdiction where it is stored.

4. Disclosure

We do not sell your personal information. We disclose it only:

• with your consent;
• to our service providers, as described above;
• where required by law, a tribunal or court order, or by Law Society regulatory obligations;
• where necessary to establish, exercise or defend a legal claim.

5. Security

Information you submit through this site is transmitted over an encrypted HTTPS connection and stored with reasonable administrative, technical and physical safeguards. No internet transmission or electronic storage is completely secure; while we work to protect your information we cannot guarantee absolute security.

6. Retention

We keep intake information for the period reasonably necessary to respond to your inquiry and, if you become a client, in accordance with the Law Society of Ontario's file-retention rules (generally at least 15 years for closed client files). Website logs are kept for a shorter operational period.

7. Cookies

The site uses a small number of functional cookies (for example, to remember your language preference) and may use aggregate analytics to understand which pages are visited. You can disable cookies through your browser settings.

8. Your rights

Subject to legal exceptions, you can ask us to confirm what personal information we hold about you, correct inaccuracies, or withdraw your consent for future processing. To make a request or file a privacy concern, email office@arialegal.ca or write to us at the address below. You may also contact the Office of the Privacy Commissioner of Canada if you are not satisfied with our response.
